Legal
Privacy Policy
This page outlines how CystemLabs handles information submitted through this website, such as the contact form and the CysMate chat assistant.
Information we collect
When you submit the contact form, we collect the information you provide, such as your name, email, company, and project details, in order to respond to your inquiry.
When you use CysMate, our AI chat assistant, we process the messages you send during the conversation and the requirements it extracts from them (such as the type of project, features, and timeline you describe) in order to generate replies and prepare a summary. CysMate does not ask for your name, email, or phone number during the conversation. If you choose to send your summary to our team, you'll be asked to separately provide your contact details and confirm you want us to reach out -- those details are only collected at that point, and only with your consent.
How we use it
Information submitted through this site is used only to respond to your inquiry and, if you become a client, to deliver the agreed services.
CysMate and AI processing
CysMate's replies are generated using Google's Gemini AI models. Messages you send in the chat are sent to Google for processing in order to generate a response; this means chat content may be processed outside of your own country. Please avoid sharing passwords, payment details, health information, or other sensitive data in the chat.
CysMate currently uses an unpaid tier of the Gemini API. Under Google's terms for unpaid services, submitted content and generated responses may be used by Google to provide, improve, and develop its products and services, and may be reviewed by human reviewers. For this reason, do not enter confidential, sensitive, regulated, or personally identifying information into the CysMate conversation. Contact details are collected separately after you confirm the requirements summary and are not sent to Gemini by CysMate.
Your chat progress -- including your acknowledgement of the AI-processing notice, recent messages, and the extracted requirements summary -- is stored temporarily in your browser's session storage so the conversation can continue while you use the site. This information is cleared when you use the "Start over" option, after a successful submission, or when the browser tab or window session ends. It is not stored in cookies or made available to other website visitors.
Sending your information to us
Both the contact form and a confirmed CysMate summary are delivered to our team using Web3Forms, a third-party form-relay service. Submitting either form means your provided details and message content are processed by Web3Forms in order to deliver them to CystemLabs.
Retention and your choices
We retain general inquiries, including contact-form submissions and confirmed CysMate summaries, for up to 12 months after our last communication with you. We may delete this information sooner when it is no longer needed.
If you become a client, relevant project and communication records may be retained for the duration of our working relationship and afterward where reasonably necessary to provide support, maintain business records, resolve disputes, or comply with applicable legal obligations.
You may ask us to provide information about the personal data we hold about you, correct inaccurate information, or delete your information. To make a request, contact us through the contact page. We may need to verify your identity before completing certain requests. Some information may be retained where required by law or where necessary to establish, exercise, or defend legal claims.
Contact
If you have questions about this Privacy Policy or want to request access to, correction of, or deletion of your information, please contact CystemLabs through our contact page.
Changes to this policy
We may update this Privacy Policy when our services, tools, or data-handling practices change. Any updates will be published on this page with a revised "Last updated" date.
